Job Descriptions

President

Elected, yearly
  • Oversees all aspects of Section activities.
  • Holds regular EC meetings.
  • Manages the business of the section between meetings.
  • Appoints all committee chairs and provides guidance to them.
  • Signs on the checking account and approves expenses within the approved budget.
  • Reviews and approves the year-end financial report.
  • Responsible for distribution of all Section communication, i.e., event flyers, newsletters, e-letters.

Vice President

Elected, yearly
  • Assumes the duties of the president during a temporary absence and takes over the office in the event that the president must step down.
  • Takes on any other duties assigned by the president.
  • Responsible for coordinating at least one event during the year and ensuring calendar events have volunteer coordinators/facilitators assigned.

Secretary

Elected, yearly
  • Takes meeting minutes at EC, business and planning meetings.
  • Provides minutes to president for review and distribution in a timely manner.
  • Maintains the Section's yearly calendar.

Treasurer

Elected, yearly
  • Maintains the financial accounts of the section.
  • Distributes payments, after approval by President & EC.
  • Provides a report at each EC meeting and at membership business meetings.
  • Prepares Financial report at the end of the fiscal year as required. Assist with audits as requested by the EC.

COR Member

Elected, yearly
  • Attends Regional Council of Representatives (COR) sessions & associated meetings at regional and national conferences. The Region COR:
    • Ensures the objectives and purposes of the region are pursued;
    • Formulates region policy
    • Supports the initiation and development of sections within the region
    • Approves the region budget by a majority of the region council members
    • Ensures a financial assessment is conducted at least once every two years
    • Maintains communication flow between region senators and their constituents on relevant issues
  • Attends telephone and web region council meetings as scheduled by the governor.
  • Maintains communication between Region & Section with respect to governance issues.
  • Sends section reports to Region governor as scheduled (~3 times a year).
  • Provides region governor with yearbook info for Section.
  • Sends list of new officers to National each year.
  • Votes for the section on budget and bylaws issues, and other votes as called for by the governor, after consulting the section membership and/or the section executive council.

COR Alternate

Elected, yearly
  • Stays prepared to vote on issues in the absense of the COR member.
  • Maintains involvement and qualifications similar to the COR member.

Additional Volunteer Positions: (Appointed yearly, no term limits)

Awards Chair

Works with EC to identify potential awards recipients. Monitors National website for publication of awards requirements and deadlines. Coordinates award applications with assignments of principal person responsible. Follows up on progress of applications and assists as needed.

Bylaws Chair

Reviews the Section bylaws and monitors National initiatives for their effect on the section. When bylaws revisions are required, oversees the changes and interfaces with the EC for review and approval. Provides changes to National as directed by the EC.

Career Guidance Chair

Creates a budget and schedule for committee activities; must be EC approved.
Coordinates activities with various outreach programs. Liaison with other organizations, i.e., school districts, universities, scouts, boys & girls clubs. Works mainly on outreach to students K-12+college. Oversees development of new programs and enhancement of existing programs.

Collegiate Counselor

Coordinates between a collegiate section and the professional section to assist in common goals and activities. Must be a non-collegiate member in good standing of the Society; considered a non-voting member of the collegiate section. Responsible to the region governor for the section's compliance with the bylaw's, policies, and procedures of the Society.

Expo Chair

Creates a budget and schedule for committee activities; must be EC approved. Coordinates Expo activities; sets schedule; schedules planning meetings; coordinates with WSU Engr Dept re reserving facility, ordering food, electric sign. Oversees selection of activities (booths) and coordinates recruitment of new activities. Sees that flyers are created and distributed to area schools in a timely manner. May work with NAWIC to optimize distribution with their Block Kids event.

Fundraising Chair

Responsible for all aspects of fundraising, including oversight. Recruits help as needed. Creates a budget and schedule for committee activities; must be EC approved. Sees that letters are sent out soliciting funds for SWE activities in a timely manner. Prepares letter templates and presents them to the EC for review and approval. Is responsible for, or assists other chairs with, thank you letters.

Membership Chair

Creates a budget and schedule for committee activities; must be EC approved. Responsible for managing section membership, including recruitment. Reviews National membership list for accuracy and changes on an ongoing basis. Promotes retention and recruitment through one networking meeting each year.

Newsletter Editor

Sets up schedule for publication with President. Assures that the newsletter is sent to the President for review, and subsequent distribution, in time to meet schedules. Works with EC to collect articles and other information for newsletter. Responsible for professional appearance and accuracy of document. Creates or amends template as necessary.

Nomination Committee Members (Nomination Committee Chair)

3 Committee members are appointed by the EC. The committee may select a separate chair, if it wishes. One of the 3 members may also serve as chair. Responsible for sending out a call for nominations and for developing a slate of officers to be presented to the membership. As possible, the committee also solicits volunteers for other standing volunteer positions. This list will be presented to the new president, after the election, for review and appointment. Slate must go to membership by April 15. Voting must be completed within 21 days (May 6)

Publicity Chair

Creates a budget and schedule for committee activities; must be EC approved. Coordinates publicity of all events with the community media. Coordinates with Expo Chair to make sure that the event has full coverage. Publicizes accomplishments of members.

Scholarship Chair

Creates a budget and schedule for committee activities; must be EC approved. Coordinates WSU scholarship award. Works with WSU Engineering Dept liaison to notify/request student applications. Selects committee to review applications & select recipient. Notifies recipient & WSU Scholarship Foundation. Sends notification letters to those not chosen. Invites recipient to Spring Banquet for presentation of award certificate.

Web Mistress

Creates a budget and schedule for committee activities; must be EC approved. Responsible for the support and maintenance of the Section website. Manages the web host/server and submits hosting fees to President for review and approval. Assures that information on the site is current and correct. Supports electronic communications associated with the National website, i.e., SWE Communities.

WCES Representative

Eligibility & Term:
The SWE representative to WCES must be a member of the Section. The representative is appointed to the position by the president for a term of one year. There is no limit to the number of consecutive terms that a person may serve. Any vacancy in the position will be filled by presidential appointment.

Duties and Responsibilities:
The WCES representative serves as the liaison between Wichita SWE and WCES and represents the Section at WCES meetings and votes on its behalf. As the focal, the representative is responsible for all communication between SWE and WCES and performs the required tasks necessary to provide SWE support to WCES.

All commitments of the Section to WCES must be first coordinated with the Section's Executive Committee for approval and support.

Currently, the main focus of WCES is Engineer's Week and the associated banquet. Those tasks required, on behalf of SWE, are:

  • Coordinate publicity and communication between SWE and WCES
  • Coordinate the WCES Service Award call for nominations between SWE and WCES
  • Coordinate the banquet Engineering Fair participation, facilities, and/or equipment needs between SWE and WCES
  • Coordinate the banquet ticket sales between SWE and WCES
